Minutes for QEP Meeting
April 7, 2006

  1. Any additions to the agenda?  There were none.

  2. Bibby has agreed to be consultant rather than lead evaluator due to his previous experience in the process.  Draft for his evaluation this week.

  3. Bibby & Bob Chaney.  Bibby will consult and Chaney will be Lead Evaluator for the SACS visit.

  4. Discussion of who sends official notification to the lead evaluator.  Robin--from understanding of handbook, SACS extends the invitation, not us.

  5. Academic Success Advisors

    1. Definition of students to serve

    1. Training 40 - 45 Academic Success Advisors

  1. Robin distributed links to the Academic Advising web page

  2. GE 101 cannot be offered until Fall 2007.  Would like to compare present cohorts with GE 101.

  3. Seeking links on college web page (see handout)

  4. Robin developed an FAQ for financial aid and registrar's office for posting on web page.

  5. We would develop links to services, FAQs, policies, etc.; increases convenience.

  6. Discussion of the "commonly used forms".  Wheels initial objection to the course sub. form.  The forms will, however, be available to advisors, not students.

  7. Robin called for suggestions for addition to links or to the FAQ pages.

  8. Tentative QEP budget

    1. Budget will be revised and updated within the next week.

    2. Please review and email suggestions/omissions to Robin.

  9. Call for questions on advising web page, FAQ, or budget.  There were none.

  10. Update on QEP feedback sessions

    1. Thanks to those who attended the feedback sessions

    2. Some asked for smaller sessions

    3. Average 10-12 people attending campus meetings

    4. Robin discussed the QEP face-to-face with about 75 faculty/staff

  11. Ideas on QEP feedback sessions

    1. In Robin's discussions with the SKCTC Board:

  1. "to strengthen relations with p-12 faculty and their students".  Proposed goal/additions.  The committee has agreed to add the new goal (it kind of pulls Running Start out by itself instead of it being imbedded [within other goals].

  2. Academic Success Advisors:

    1. Not sure able to get two from each division/discipline.

    2. Looking for about 40-45 volunteers to be Ac. Success advisors

    3. Wheels says we already have several Academic Success advisors on each campus.

    4. Suggestion on giving the students blue folders [i.e. advising folders] to identify them.

    5. Joel:  Sounds like the Academic Success Advisors may be overloaded.

    6. Rick:  Incoming will be about 1200.

    7. Joel:  40-45 should be sufficient.

    8. Robin:  [Sorry, I missed your comment.  Maybe you can remember what it was.]

    9. Rick:  Also, some will be part-time.  We should probably make a distinction in their enrollment status (full/part-time)

    10. Chuck:  How many hours can they finish while doing their developmental courses?  No consensus. [I'm guessing I meant no consensus was reached among the committee...]

    11. Rick:  Currently, no penalty if not taking developmental classes but should be.

    12. Robin:  Need a clear description of the population to be served by the Academic Success Advisors.

    13. Rick:  Advisors should recognize that requirements for developmental studies vary from program to program.

    14. Rick:  Every program has minimum reading/writing score (according to KCTCS placement policy); placement based on scores, which prevents misplacement.

    15. Take the question back to the Academic Dean (placement, advisor load, etc.)

    16. Problem with placement; who should be in something, who shouldn't.

    1. Millard:  Some programs do require high test scores (like Radiography)

    2. Need clear definition of population Ac. Success advisors will serve.  Will we deal with only full-time, degree-seeking students or not.  Robin will review further and confer with Academic Dean.

    3. Tried in the early 90's, advisors were overloaded.

  1. What about the student who tests into developmental math only?  Should we include in "at-risk"?  If so, this would definitely call for more Ac. Success advisors.

  2. Robin:  Should we make a policy of no overrides?

    1. Millard:  Would favor.

    2. David:  Border lines can be instructor approved, be we want to avoid situations like what happened recently with half of Richard Call's math class students being misplaced.  [Note:  I forget which class it was, but Richard had to administratively drop a large number of misplaced, students from a math class.  He had not given approval to waive their test scores and the advisors put them in there anyway.  This is an example of ongoing careless advising.]

  3. Robin:  The administration is actively seeking money for two full-time developmental math instructors.

  4. Robin:  Continuation down the list of feedback ideas.

    1. What can we do to move from traditional instruction?

    2. See #10 [I assume I was talking about items on a handout regarding feedback]

  1. Robin:  any suggestions or changes we've not discussed so far?  There were none.

  2. Robin:  Anybody interested in developing a pilot for the two-week review? (end summer 2007 or begin fall 2007 [I think these dates pertained to the previous comment...not entirely sure now].

  3. April 21:  faculty meeting.

    1. Robin will cover QEP basics and emphasizing areas where faculty feedback has helped

    2. Robin will ask for faculty approval of the QEP

  4. Volunteers for:  what area?  Who wants to volunteer? [Note:  I didn't write down volunteers for what.  I made a personal note that I could do Running Start, so I may have meant who would work on pilots.  Since Ruth is our Dev. Coord., she can decide what if anything she needs me to do].

  5. Contact Robin on this, if you want to speak.
